AWCZ Privacy Policy

The American Women's Club of Zurich (AWCZ) is committed to protecting your privacy in

accordance with Switzerland’s Federal Act of Data Protection (FADP) and the EU General Data

Protection Regulation (GDPR).


Generally, the AWCZ uses personal information for purposes of administering its business

activities, for managing its finances, and providing customer service to its members, non-

members, advertisers, and other stakeholders.


The AWCZ will not obtain personally identifying information about you when you visit our site,

unless you choose to provide such information to us.


We may disclose information when legally compelled to do so, in other words, when we, in good

faith, believe that the law requires it or for the protection of our legal rights.


To remain in compliance with the FADP and the GDPR, the AWCZ Privacy Policy is transparent

and clearly describes the following: what data we collect on members, or non-members, how

we collect data, why we collect data, what we collect data for, how long we use data, and how

we keep data secure.


Additionally, this policy includes information on the disclosure of personal data, accessing and

correcting personal data, disposing of personal data, email information, email policies, opting

out, data securities, acceptable use, restricted access, and use of external links. <


What data we collect on members


  • Contact details: name, email, phone number, and address
  • Personal information: birthday, where you have lived previously, where you consider home, languages spoken
  • Information relevant to the Club: how you learned about AWCZ, if you were referred to
  • the Club, what you would like from your membership, when you will participate in
  • activities, groups you would like notifications from, interests in leading activities, interests in volunteer positions, if you have ever been a member of another FAWCO Club
  • Membership and event payment details


What data we collect on non-members


The AWCZ is open to non-members for various activities/events, including, but not limited to,

Professional American Women of Zurich (PAWZ), Workshop Weeks, fund raising activities, etc.

  • Sending confirmation of payments that you made and/or to send you invoices when necessary


How long we use data


The AWCZ keeps your data for the duration of your membership or your affiliation with non-

member activities. You have the right to request the deletion of your data at any time. Please

note that the AWCZ may not be able to continue your membership benefits or allow event

registration without your data. You can request the deletion of your data by sending an email to

webmaster@awczurich.org.


How we keep data secure


We manage our membership data via Wild Apricot, a membership management tool that

includes our CRM (customer relationship management) functionality. All personal data supplied

to this service are protected by FADP and GDPR. Further information on Wild Apricot protection

Our members who have administrative access to our website will never use or share member

data. Additionally, AWCZ never sells or distributes members' personal data to any third party.

Other members may be able to view your details in the Online Membership Directory. Members,

however, may change these details to private. In this case, only the registered member and the

website administrators have access to this information.


We have implemented technical and operational measures designed to secure personal data

from accidental loss and from unauthorized access, use, alteration, and disclosure.

All personal data provided to us by the membership is stored on password-protected databases

on secure servers behind firewalls using Secure Sockets Layer (SSL) to ensure that the

transmission of sensitive data is encrypted and appropriately safeguarded.


Although we do our best to protect a member’s personal data, we do rely on member’s

discretion not to supply the newsletter, directory, and other personal data, either electronically

(e.g. links) or hardcopy, to third parties.


Disclosure of personal data


We may disclose aggregated data about our membership, or data that cannot be used to

identify any individual, without restriction.


We never disclose personally identifiable information outside of the membership. With members’ consent, their personal information may be included in the monthly Newsletter or Round Robin Spotlight.


Finally, we manage social media accounts, such as Facebook and Instagram, which may

include photographs, video, and audio recordings of Club events. Only with consent will we

include identifiable images, audio recordings, tags, etc. of our members in our postings.


Accessing and correcting personal data


All members have the right to review and/or update their information as well as revoke consent

at any time by contacting the club’s membership chair at vpmemberrelations@awczurich.org.

Revoking consent is not retroactive.


In addition, all former members have the right to review their data by contacting the above

address.


Disposing of personal data


We retain all the personal data of current club members. Once a member resigns, this data is

archived. That way, if a former member wants to rejoin, we can reinstate them. After that,

limited personal data, such as name, membership type, and other club-related matters (e.g., if

the member served on the board) is retained for historical and archival purposes. 


Email information


If you choose to correspond with the AWCZ through email, we may retain the content of your

email messages together with your email address and our responses. We provide the same

protections for these electronic communications that we employ in the maintenance of

information received online, mail, and telephone. This also applies when you register for our

website, sign up through any of our forms using your email address, or pay for an event.


Email policies


The AWCZ is committed to keeping your email address confidential. We do not sell, rent, or

lease our subscription lists to third parties, and we will not provide your personal information to

any third-party individual, government agency, or company at any time unless strictly compelled

to do so by law.


We will use your email address solely to provide timely information about the AWCZ and its

activities.


We will maintain the information you send via email in accordance with applicable federal law.


Opting out


The AWCZ site provides users the opportunity to opt-out of receiving communications from us

and our partners by following the unsubscribe instructions located at the bottom of any email

they receive from us at any time or by contacting the vpcommunications@awczurich.org.

Users who no longer wish to receive the AWCZ newsletter, Round Robin Spotlight, or

promotional materials may opt-out of receiving these communications by clicking on the

unsubscribe link in the email.


Users who no longer wish to receive correspondence relating to PAWZ should contact

pawz@awczurich.org or vpcommunications@awczurich.org.


Acceptable use


You must not use the content on our website to send unsolicited commercial communications

or for any marketing-related purpose without our express written consent.


Restricted access


The AWCZ may in the future need to restrict access to parts (or all) of our website and reserves

full rights to do so. If, at any point, the AWCZ provides you with a username and password for

you to access restricted areas of our website, you must ensure that both your username and

password are kept confidential.


Use of external links


http://www.awczurich.org may contain links to many other websites. The AWCZ cannot

guarantee the accuracy of information found at any linked site. Links to or from external sites

not owned or controlled by the AWCZ do not constitute an endorsement by the AWCZ or any of
